Step 1: I get a list of interest from you guys and a date you want to have the meet
Step 2: I tell him the date WE chose
Step 3: I let him know what we decided so he stays in the loop and can plan around it
Pending Step 1. If I miss step 1 I can't go to step 2 or 3
